Customer Care

What's New

Revamped case details and all cases page

Redesigned the case details page with a compact, visually appealing layout for improved readability. The all cases page now features a consistent header layout aligned with the rest of the module. Additionally, the increased row spacing makes scanning easier and reduces visual clutter.
Auto-fill address for Dutch customers

The process of creating a new Dutch customer is enhanced. Upon entering the zip code and house number the address and city fields are auto-populated with relevant details. (as seen below)
Right to be forgotten option

A Right to forget button is added to the customer profile, to comply with the GDPR. If a customer requests the removal of their data, it can now be easily processed under the settings tab of their profile. This option is available for all Customer Care Manager users.

What's Improved

Introducing new add-on type activity voucher

The activity voucher allows linking a voucher to an activity, enabling discounted or free access. This is achieved by implementing a specific add-on type for seamless add-on configuration.
Show tax rates linked for accommodation types or add-ons

Taxes associated with the ledgers can now be viewed directly from an accommodation type or an add-on in the Content Manager. The tax names and values are displayed, simplifying the process. This streamlined approach eliminates the need to navigate through multiple modules, making it quicker and easier to obtain a complete overview.
Custom stay periods for insurance add-ons

Custom stay periods for insurance add-ons can now be configured, similar to regular add-ons. This enhancement allows users to set predefined stays, specify applicable nights, and choose stay days, providing more flexibility and control over the pricing strategy.
Streamlined barrier access management for seamless guest arrivals

Enhanced the Content Manager to simplify the management of barrier access within the unit door lock configuration. Users can now specify whether the door lock codes apply to the main barrier for the car, the door lock, or both. Additionally, SmartEntry profiles can be easily configured for each unit through direct integration with Koole Controls. The system automatically syncs, ensuring a seamless setup and providing clear arrival instructions for guests.

Finance Manager

What's Fixed

Improved performance for split payments processing
Resolved the following critical issues related to the processing of large volumes of split payments
- The response was slow, especially with datasets containing a few hundred split payments, and caused the system to become unresponsive.
- Currency information was not displayed or took too long to load.
- The split payment functionality often resulted in timeout errors, further complicating transactions.
- Users noticed that completed transactions still appeared after encountering errors.
  With this update, users can expect:
- A UI capable of efficiently handling large datasets without becoming unresponsive.
- Instant visibility of currency information without delays.
- A clean transaction list that does not include unwanted data after an error occurs.
- Enhanced response when managing sizable split payment data.
Fix for VAT input bug in value rate field

Resolved the issue affecting the VAT input functionality in the value rate field. Previously, when the user entered decimal values, the system would either remove the entire input or remove the decimal separator, causing the cursor to reset to the beginning of the amount. Now the users can input decimal values without any interruptions.

What's New

Monthly overview feature

Introduced a new monthly overview feature on the dashboard, which allows users to see the current available occupancy, arrivals, departures, and guests in the house. (as seen below)

Owner Manager

What's Improved

Enhanced owner selection for improved clarity and functionality

Improved the owner selection process for better clarity. Users can now easily distinguish between actual and umbrella owners in the dropdown. A new option, 'Umbrella shared owner' activates the shared owner feature on the following screen. If a different owner type is selected, the 'Umbrella owner' option will appear when choosing shared ownership for enhanced customization. If 'Umbrella owner' is not selected, the process continues, but if checked, the owner type will change to 'Umbrella shared owner'. Note that the 'Umbrella shared owners' won't appear in selection boxes, but are visible in the owner overview.
Migration of reporting contract types to Maxxton Software
Migrated the reporting contract types from Newyse to Maxxton Software within the Owner Manager. The reporting contract types are available under the configuration menu in the reporting contract types section. This transition simplifies the workflow and enhances usability. The migration includes create, read, update and delete functionality, ensuring the reporting contracts can be managed efficiently. Key fields available for input include
- Name
- Code
- Short description
- Description
- Priority (0-999)
- Occupation value
- Email address Robust translation capabilities are also incorporated for the name, short description, and detailed description fields.

Rate Manager

What's New

Voucher management

The voucher module is now available, allowing discounts through unique codes, similar to coupons. These codes can be redeemed for accommodation reservations where the voucher applies. The vouchers module is available in the Rate Manager menu. You can read more about the configuration possibilities on this page: Voucher Management
Derive within a rate type

The feature derive within a rate type is introduced in addition to the existing feature of deriving between the rate types. With this feature, it is possible to easily maintain a single rate option within a rate type which will cascade to the other rate options within the same rate type. This new rate setup provides more flexibility and ease to offer a lower rate for a longer duration of stay. This feature is only possible in combination with the rate option setting 'Night rates depending on minimum length of stay - Same'. Reservation Manager

What's New

Bulk communication for selected reservations
Introduced a new feature that allows users to send bulk communications (email/SMS) directly from search reservations screen in the Reservation manager and check-in/check-out screens in the Front Office manager. Key Features
- Select multiple reservations: choose reservations in bulk for communication.
- Send emails and SMS: use predefined templates to notify guests.
- Communication tracking: sent messages are logged in the communication tab and reservation history.
- User permissions: access is restricted to users with specific Reservation Manager and Front Office Manager permissions.
- Batch processing: supports up to 1000 reservations per batch with error handling and progress tracking.
Minimum age requirement for bookers

Now it is possible to set a minimum age requirement for customers or bookers when creating a reservation. Reservations cannot be saved if the booker does not meet the configured age requirement.
