Owner own use

Owner own use refers to the process by which owners can book their own unit, or another unit within the same pool if applicable, using the defined contract configuration. This functionality ensures that owners can utilise their entitled days as defined in their contract while allowing the system to track usage, validate availability, and manage seasonal limits. The behaviour and validations are fully dependent on the configurations made at the contract type level and, where relevant, overridden at the owner level.

Own use allows an owner to book either:

  • Their own unit, regular own usage.

  • Any available unit within the assigned pool, if the contract type supports pooling and their own unit is not available.

Depending on the contract type, owners may be allocated a fixed number of days per fiscal year, distributed across seasons such as low, mid, or high. The system deducts the number of used days automatically from the owner’s allowance.

Feature Flag

Own use functionality is controlled via feature flags, such as:

  • Enable owner own use validation and tracking

  • Additional own use requirement

  • Enable the migrated owner own use flow

These must be enabled for the flow to be available.

Reservation Categories

Reservation categories, configured in Channel Manager, determine how a booking is recognised as an owner booking. Examples include:

  • Own use reservation

  • Owner within the pool

  • Last-minute reservation

These categories must have the Last minute bookings for owners within same pool, and Owner use toggles enabled to identify the owner own use bookings.

Configure own use contract at the contract type level

To configure a contract type, navigate to the Owner Manager:

  • From the Configuration menu, select the Contract types

  • Select the owner with the required contract type.

  • Click on the Contract own usage action button.

  • The Contract own usage pop-up shows filters for Fiscal year and Booking type, which can be applied to display the necessary own-use configurations.

  • Click Create own use.

  • In the pop-up displayed, enter the following fields:

    • Fiscal year: select a fiscal year

    • Locations: select one or multiple locations

    • Select a booking type:

      • Regular own use

      • Last-minute own use

  • Select the relevant option and click Next step.

  • Select booking options:

    • Allow to book only own units: selecting this option allows the owner to book only their units.

      • Select Next step.

    • Allow to book units from the owners within pool: Owners will be able to book units from other owners within the same pool (when their own unit is not available) and deduct their own use days as per the booking nights.

  • Select the relevant option and click on Next step.

  • Select the configuration for the booking period:

    • Configure one period: Set up a single period with the same maximum number of days for the entire date range. Simpler configuration with consistent rules.

    • Configure by seasons: Configure low, medium, and high seasons with different maximum days allowed for each. Provides more flexible usage options for owners.

When selecting Configure one period, enter the following details:

  • Reservation category: select from the drop-down

  • Maximum length of stay: max days allowed during a single booking

  • Maximum number of days allowed: max days allowed for the entire defined period

  • Select the Period range and click Create own use.

When selecting Configure by seasons, enter the following details:

  • Reservation category: select from the drop-down

  • Maximum length of stay: max days allowed during a single booking

  • Select the season and click Create own use.

 

Edit the configuration at the contract type level:

In the Contract own usage pop-up, the own use configurations can be edited:

  • Click on the kebab menu inline with the required configuration to be edited.

  • The following options are available:

    • Edit own usage: clicking on this opens a new modal Edit own use. Here, you can edit the following fields:

      • Locations

      • Booking options (own units or units from owners within the pool)

      • Reservation category

      • Maximum length of stay

    • Edit full period configuration: (option available for booking type last-minute own use)

      • Maximum number of days

      • Days before considered last minute

    • Edit seasons:  (option available for booking type Regular own use)

      • Max. number of days for each season, i.e. high, medium, and low.

    • Delete: deletes the configuration.

Note:

  • Any modification here is reflected in the Owner profile.

  • If the owner-level configuration is modified, it overrides the contract-level configuration.

Verify the configuration in the owner profile

To verify a configured own use contract, follow the steps below in the Owner Manager:

  • From the Configuration menu, select Owners.

  • Select the owner for whom the own use contract was configured in the above steps.

  • On the owner details screen, click on Owner own use action button.

  • The own use configurations created in earlier steps are displayed here. You can view the required own use configurations by applying the filters Fiscal year, Unit, and Contract. Also, the pop-up includes two tabs, Regular own use and Last minute own use, where the respective configurations are displayed.

  • To edit any configuration, click on the kebab menu and select Edit season. You can change the maximum number of days and period range here. Note that Used days cannot be modified.

Note:

All configurations in the owner profile are inherited from the contract type, which means they are labelled as Inherited by default. If any changes are made to a configuration within the owner profile, the label changes to Modified.

 

New Reservation

To create a new reservation using the owner own use, follow the steps below in the Owner Manager:

  • From the Configuration menu, select Owners.

  • Select the relevant owner above.

  • On the owner details page, click on New Reservation in the Reservations section.

  • This opens the Reservation Manager.

  • Select a valid Distribution channel and a Reservation category for the owner own use.

  • Select the unit linked to the active contract, valid dates, and confirm the reservation.

  • To verify the reservation in the Owner Manager, select the Owners menu item and select the owner profile as above. In the Owner own use modal, click on the kebab menu and select Show own use reservations, against the relevant own use configuration.
