The purpose of this article is to explain how to use the Planning chart in the Front office manager.



Permissions

  1. Access to the planning chart to view and create reservations
  2. Access to the configuration part to set up the reservation details per location which can be seen by users of that location
  3. Access to open any reservation in the Front office manager
  4. Access to view the (configured) reservation details
  5. Access to open any reservation in the Reservation manager

Planning chart view

  1. Filter on location/multiple locations/select a future date or use the calendar arrows to navigate through the planning chart
  2. Filter on amenities
  3. Filter on number of bed/bathrooms
  4. Search for one accommodation type/accommodation
  5. Filter on accommodation kind/accommodation type(s)
  6. Find reservation by searching on customer last name/reservation number/booking reference number
  7. Setting where user can select another distribution channel to create a new reservation on the selected channel
  8. Personal settings which can be switched on/off to view accommodation type prices per day or month/accommodation details like pet welcome/cleaning status
  9. Unit preference
  10. Preference next to each other
  11. Amenity preference
  12. Display of a locked unit
  13. Create a new reservation or lock by selecting the first date and drag the mouse to a possible departure date
  14. Reservation details
  15. Create a long stay reservation (required is a minimum select of 28 nights)
  16. Show contract type
  17. Show short description
  18. Show events/holidays
  19. Show reservation status
  20. Show early check in or late check out
  21. Filter on available units

Planning chart configuration options

  1. Option to manage the details users are allowed to see on the reservation detail summary in menu configuration > Planning chart
  2. Configuration for latitude/longitude to show the accommodation on the map in the planning chart can be done in Content manager > Accommodation level
  3. Reservation color >> Shown based on the reservation category color which can be configured in the Channel manager > reservation categories
  4. Linking DC to a partner employee allowing the partner to view reservations booked for the selected DC only


Planning chart print option

  1. Make your pre-selection by selecting the accommodation kind(s) and accommodation types if you want to print for a certain selection of types/units
  2. Click on the 3 dots on the right top site of your screen
  3. Click on Print occupancy
  4. Make your selection and click on Print occupancy
  5. The list will always display the available one first, followed by the occupied and blocked one
