User Templates

The user templates can be used to automatically configure new employees based on attributes or groups in your active directory. A prerequisite for this is that you have Single Sign On (SSO) configured in the authentication platform of Maxxton Software.

Prerequisites for the user templates

To be able to configure the user templates you need the following prerequisite.

  • The User templates feature flag needs to be enabled to see the feature

  • Have the Back Office Manager - User templates permission assigned to a role that you are part of.

Defining the user templates

Navigate to the back-office manager and select the user templates under the configuration tab

On the user templates page, select the default settings in the top right to configure the default settings for all employees. These settings will be used in case none of the templates match or if only group based templates are being used. Here you can configure:

  • The employee group

  • The distribution channel

    • This is the default distribution channel of the employee

  • The reservation category

    • This is the default reservation category of the employee

After configuring the default settings, click the create template button to start the template configuration. In the general information step you can set:

  • The name of the template

  • Who it applies to

    • Either your employees or employees of Maxxton

  • The attribute type

    • Option between group or attribute (optionally sub attribute) based

  • The GDPR levels

When selection the attribute type attribute, your next step will be the configuration step. In this step you can configure the values which will override the default settings set earlier (given that the templates matches with the user’s attributes).

In the permission groups step you can assign the roles that your employee needs to be part of. This step is optional and can be skipped by clicking next step.

In the locations step you can assign the locations your employee needs access to. Here you have the option to allow all locations (including locations added in the future). This step is optional and can be skipped by selection specific locations and then clicking next step.

In the admin organisations step you can assign the admin organisations that your employee needs access to. Similar to the locations, you can also allow all admin organisations. This step is optional and can be skipped by selection specific admin organisations and then clicking next step.

In the distribution channel step you can assign distribution channels on which the employee can make new bookings. This step is optional and can be skipped by clicking next step.

In the cash accounts step you can assign cash accounts that your employee has access to. This step is optional and can be skipped by clicking next step.

In the inbox configuration step you can assign various inbox configurations which will be used in the customer care module. This step is optional and can be skipped by clicking next step.

In the last overview step you can see a quick list of the template you are about to create. Click create new template to create the template.

After creating the template you will be taken to the templates overview and your newly created template is now active.
