Tasks

Tasks are required to create a housekeeping planning. Tasks can be based on DC's, RC's, add-ons and subjects, so it can be made very specific. These are the tasks that get planned based on the set configuration in combination with the arriving, departing or staying reservations. This page will explain how to create a task in Maxxton Software.

When creating Tasks in the Operations Manager for the first time, there is a specific flow that needs to be followed :

How to set up a housekeeping task?

Required permission

The required permission for setting up housekeeping tasks is Operations Manager - Housekeeping configuration.

  • Setting up an initial housekeeping task

  1. Go to Operations Manager → Configuration → Housekeeping tasks
  2. Hit the 'create new task' button. 
  3. Configure default settings like location, task category, name of task, code of task and task type.If you do not have any task categories configured, return to the Housekeeping tasks menu, and click on "show structure" on the top right. A new button will appear on the bottom right named "Create new task category". Proceed to create the new task category. 
    1. Task category is below which category you want to create this task. This is useful when you want to check the task list in tree view instead of list view.
    2. Task type means what kind of task you're creating. Please be aware that control employees can only be assigned to tasks which are of task type = control. Mostly used are cleaning and control. When you're interested in using the other types, please contact us.
  4. In the second screen of the slider, you can enable settings like
    1. Task for locked unit → will plan the task at the end of a lock (e.g. control after maintenance work)
    2. Based on quantity of add-on → this will multiply the duration with the amount of add-ons that are in the booking and for which this task is getting planned (e.g. bed making service).
    3. Manual task → this will mark the task as a manual one.
  • Entering the mandatory details

  1. In the linked accommodation types card, you'll need to select the accommodation types for what this task is allowed to get planned. Units below that, will automatically be selected too. In case you want to make exceptions for unit, you can deselect those in the units tab. (screenshot 1)
    1. In case you want to be more time-driven throughout the changeover day, don't forget to fill the duration per accommodation type too.
    2. Price can be used for invoicing reports towards a third cleaning company.
  2. In the execution card, you'll need to select for which execution moment you want this task be planned. (screenshot 2)
    1. Choose arrival in case of an arrival task (e.g. arrival check)
    2. Choose departure in case of a departure task (e.g. departure cleaning), etc.
    3. Please be aware that changeover needs to be selected in many cases too, for instance with a departure cleaning otherwise the task won't get planned if you only select departure.
    4. For stay period, there are a couple of more detailed configuration settings:
      1. Daily will plan a daily task (e.g. daily cleaning)
      2. Per allows you to enter intervals (e.g. intermediate cleaning once a week)
      3. Add-on date will plan the task if an add-on is added for a specific date within the booking (e.g. cleaning on request).
  • Entering optional details

  1. Via history you can see who did changes on a certain task and when those happened. (screenshot 3)
  2. Via the settings tab, you can set advanced settings like task for locked accommodation, based on quantity of add-on and manual task. Additionally, tasks can be cloned to different locations via the advanced setting drawer! (screenshot 3)
    1. Tasks marked as manual won't get planned via the algorithm but can easily be added manually in the planning by the housekeeping manager.
  3. You can link images via the media button. Those images will show in the mobile app too and can serve as some kind of explanation. (screenshot 3)


  1. Via the conditions card, reservation details can be inserted. Using the three (arriving, departing, stay) options, you can configure when that a task should be planned based on the set conditions for the arriving, departing or stay reservation. (screenshot 4)
    1. Distribution channels. If DC's are selected here, the task will only get planned if the arriving/departing or stay (dependent on your choice) reservation is created on the selected DC's. (e.g. owner arrival check)
    2. Reservation categories. Similar as above but then for RC's. (e.g. owner own use cleaning)
    3. Add-ons. Similar as above but then if an add-on is selected and there in the reservation (e.g. bed making service)
    4. Subjects. This will make a task get planned based on whether a selected subject is in the booking (e.g. end cleaning pet).


  1. In the execution card, there are a few mandatory options; as can be read in the above section. There are also few optional settings (screenshot 5 and 6):
    1. Moments - Exceptions. Here you can configure that an arrival task should only be planned once the accommodation has been empty for x days (e.g. legionella flushing)
    2. Moments - Not in combination with. Here you can select another configured task on that location, let's say task B. With this configuration you prevent kind of duplicate tasks to get planned. So if I'm configuring task A (end cleaning), I might want to select task B (end cleaning pet) so that if task B gets planned, task A will get skipped from the planning. This might be tricky configuration, so please contact us at the moment you require help.
    3. When - Date range. Here you can configure whenever a task is allowed to get planned (e.g. turn on heating during winter period). In most cases, this will be set to 2099.
    4. When - Dates selection. Here you can configure on which days a task is allowed to get planned and if automatic pre or postponing should be happening by using the + and - (e.g. no tasks during the weekend or automatic postponing to Monday)
    5. When - Specific execution dates. Here you can configure specific dates for when a task should get planned.


Done?

You're now able to start setting up the housekeeping management and planning dashboard by creating a planning and managing your day.
