Planning wizard
To create a planning though the Maxxton Software, the following steps should be taken.
- On the Management Dashboard, hit the 'generate planning tasks' button in the top right corner.
- Step 1 - Choose a date and location.
- Select for which date (or dates when enabling the toggle) a planning needs to be generated.
- Select the location for what a planning needs to be generated.
- Step 2 - Select a sector or more details
- Select for which sector a planning needs to be generated.
- Select the toggle at the bottom in order to create a step 3 which allows to generate a planning for specific types/units or tasks.
- Step 3 - Working hours
- Please configure the working hours for that day that most of the employees will be available. Note: there is a possibility to change individual times afterwards. Those working hours will be used for productivity and capacity calculations in the module afterwards.
- After selecting the create cleaning schedule button, the planning will be created. This process can be runned in the background and there will be a notification as soon the planning is ready to check.
Planning loading
- As soon as the notification is received, three options are given with the following purpose:
- Replace current planning. When selecting this option, you'll start with a complete new planning. Any previously planning settings like employees assigned to tasks or task statuses will be lost.
- Show details. This option will give an overview on the amount of work that needs to be done for the planned dates. This can be used to make an indication for working agencies.
- Apply new schedule. When selecting this option, you'll be merging the differences that the planning found in comparison with already existing data. Already assigned employees and task statuses will remain and therefore only the differences will be highlighted.
Assigning employees
- Make sure you get to the planning dashboard screen via any of the options, where the menu item planning dashboard would be the best option to cover everything. Other options would be management dashboard → unassigned tasks or clicking on the pie chart.
- Hit the assign employees button. Note: Please make sure that always one sector is selected as this is mandatory.
- On the left side of the screen a division is made. Employees showing up on the left side of the screen are linked to the location and the sector. The ones with a purple icon in front of the name are controllers. In addition, following permissions should be selected in a role linked to their profile:
- Cleaning part requires a role with permission Operations Manager - Cleaning
- Controlling part requires a role with permission Operations Manager - Controlling
- There are multiple ways on how to assign an employee to the generated tasks. Cleaners can only be allocated to cleaning tasks and controllers to controlling tasks.
- Drag and drop the employee on a unit.
- Drag and drop singular tasks to an employee.
- Make a multiselection of units/tasks and hit the select and assign button at the end of the employees name.
