Basics
Periodical tasks are recurring tasks that should be executed on a configurable frequency. The frequencies can be set per location within the same periodical task and we're offering the below ones:
- Weekly, which will schedule tasks every week. Example: this could be for multiple days though, so can be Monday-Wednesday or Mondays and Fridays separately.
- Monthly, which will schedule tasks every month as per the date selection(s). Example: Every 1st of the month till the 10th of the month or a full month or multiple periods in a month.
- Yearly, which will schedule tasks every year as per the date selections(s). Example: Every 1st of the month till the 10th of the month in October or a full month in November or multiple periods in a month / year.
- Specific number of years, which will schedule tasks over years. Example: Once every 2 years in March.
More information on periodical tasks and their configuration:
- Descriptions can be set for periodical tasks including descriptions on the task.
- There's a date from and date to, which is used to set the total validity of the task which means the period till when the frequency should run.
- Split functionality, which will create work orders out of periodical tasks giving you the option to assign employees to units in the periodical tasks alongside other work order functionalities like adding material, images, solutions etc. This differs from the periodical tasks (that are not split up) where units can only be marked completed.
- We'll need to set a work order category (of type periodical), item and area during the set-up of the configuration.
Linking entities
About the linking of entities:
- If no locations are linked, it means that the task is not valid for any of them.
- If no accommodation type is linked, it means that no accommodation types will be valid, even though locations are linked.
- If no units are linked, it means that no units are valid even though their accommodation types have been selected.
- If no add-ons are linked, it means that no add-ons are valid. Add-ons are used so that bookings, including that add-on, are recognized and units can be added to this task automatically so that the unit will be included in a new generation periodical task.
Generation of tasks
There's a script running every night that checks if new tasks should be generated already. By default, this will check for any start dates in the upcoming 14 days; but that can be changed as per the request of the customer inside a feature toggle (only accessible by Maxxton).
If you can't wait to let the script run during the night, there's a possibility to generate it manually using the "more" button right top.
