Cancellations

The Cancellations menu enables the user to have insight into all cancelled/definitive cancelled reservations. Purpose of this article is to explain the user how to manage cancellations.


Permission

User needs a few permissions to manage cancellations

  1. Feature flag to use the cancel reason feature (Can be enabled on request) 
  2. Permission to handle cancelled reservations > add/edit/remove add-ons > price override 
  3. Permission to handle definitive cancelled reservations > add/edit/remove add-ons > Price override



Configuration

  1. Cancellation compensation add-ons can be configured in the Channel manager, for more details of how to create them, refer to Cancellation terms
  2. And linked to the Distribution channels 



Manage cancellations

  1. Open the menu Cancellations in the Reservation manager (visible when one of the above permissions is enabled)
  2. User is able to manage cancellations for Direct channels and/or Touroperator/resellers
  3. User is able to manage cancelled and/or definitive cancelled reservations
  4. Create customizable add-ons to allow the user to add them to the canceled/definitive canceled reservations to correct the reservations manually
  5. Valid cancellation reason Yes/No can be used for reservations having a cancellation premium insurance add-on booked. When updating the status to definitive cancelled and reason is updated to Yes, the general cancellation compensation add-on (Recron) will be replaced by the cancellation add-on configured for a valid cancellation reason. Note: this will only work when client uses a premium cancellation insurance add-on in combination with the cancellation valid reason configuration.
