Configuration of the Reservation Manager module in MXTS

Introduction

The Reservation Manager module is the main tool used by Call Centers to make reservations via phone. In order to increase efficiency and speed at which a reservation can be made by a member of the call center, it is possible to tailor and adapt the configuration of the Reservation Manager based on the client’s needs.

Prerequisites

In order to be able to access the configuration menu of the Reservation Manager & be able to change the configuration settings, the user must have the following Reservation Manager right enabled :

This can be done in the Back-Office Manager module by going into the “Roles” tab and going into the relevant role where you can find the list of assigned rights.

N.B : To make it easier to find the relevant right, please note that the list of rights for all modules are always in alphabetical order (after the module name).

Once the Configuration right of the Reservation Manager has been enabled, you should be able to see it in MXTS and navigate to it.

Configuration

To begin the configuration of the Reservation Manager module, the user is first required to create a configuration set. This can be done by clicking the “New “Configuration” button within the “General” sub-tab of the “Configuration” menu.

Once you have created a new configuration set, you will be able to access the different configuration settings.

The configuration setting are split into 3 parts :

  • General configuration

  • Visible information

  • Widgets

Most of the configuration settings are explicit but here is an explanation for some of the less self-explanatory settings :

  • Enable the rebooking amenity for cancelled units toggle / Rebooking widget : This is a feature that has been developed for a specific client and is used for moving a reservation from one location to another.

  • Trust accounting toggle : This is a feature that has been specifically developed for another client regarding long-term bookings with only 1 reservation & different price rules.

  • Book Restrictions & (rolling) requests toggle / On Request Widget : Refers to Reservation status. Some clients have restriction rules that when a booking is created online with same day arrival, a request booking is created and it needs to be confirmed if the guest can actually arrive or not.

  • Field widget : The field widget is used to search accommodation types in the first step of the Reservation Manager either by name or by code via a dedicated search bar.

  • Accommodation type Brand Widget : This is a feature that has been specifically developed for another client regarding differentiation between different accommodation types if a brand is linked to accommodation types.

Conclusion

There are various settings that can be configured within the Reservation Manager that help you decide what should be the layout and and what information is shown to the user. These settings can be configured based on the clients' needs and in order to improve the efficiency of the call center employees making the reservations.
